Swimmer Registration Status in REMS – Eligibility for Swim Meets

To be eligible for swim meets, swimmers must have an ACTIVE status in REMS. This is achieved when their personal information is updated, all required waivers are signed, and all invoices are marked as paid in REMS. Please note that the activation process may take up to three (3) weeks due to the process by which clubs pay Swim BC and Swimming Canada invoices through Swim BC. Both organizations then independently mark the invoices as paid in REMS.

Registrant Membership Status Options

Eligibility Requirements for Divisionals and Provincials

To be eligible for Divisionals and Provincials, swimmers must have an ACTIVE status in REMS. This status is achieved when:
  1. Personal Information: The swimmer’s personal information is updated in REMS.
  2. Required Waivers: All required waivers are signed in REMS.
  3. Invoices: All invoices are marked as paid in REMS.
Please note that the activation process may take up to three (3) weeks due to the process by which clubs pay Swim BC and Swimming Canada invoices through Swim BC. Both organizations then independently mark the invoices as paid in REMS. Important: Swimmers must have active status before the entry deadline to be eligible for Divisionals and Provincials. Please plan accordingly to avoid any delay.

Entries submitted without a valid registration number and active status in the REMS at the time of the entry deadline will be denied entry. It is the responsibility of the swimmer’s club to ensure all athletes have an ‘ACTIVE’ registration status in REMS.

AN IMPORTANT MESSAGE REGARDING REMS

TO OUR VALUED MEMBERS As most club applications have been vetted and approved (83 clubs), you are becoming familiar with the Swimming Canada Registration and Event Management System.  Please know that we are profoundly aware of the many issues occurring as club registrars endeavour to register swimmers, coaches and officials.  We are doing our very best to provide both Swimming Canada’s resources and information, as well as taking the time to generate and support that messaging with Swim BC information. To say we are being inundated with requests for assistance would be understating the current environment – we are being overwhelmed.  To address this, we are taking a step back and asking all clubs to:
  1. PLEASE, read all the information in all links that you have been afforded.
  2. PLEASE, ensure the person you identified as a registrar is the “point person” in your organization.
  3. PLEASE, submit your issue(s) via the Swim BC Registration / REMS Inquiry Form. We are triaging these issues to Swimming Canada if needed – please do not continue to ask if there are updates.
At this time, we cannot answer individual email or telephone calls – this week some Swim BC staff are heading to Calgary for the Swimming Canada AGM and CSCA Conference, others are actively planning fall technical events – we do not have the capacity to trouble-shoot the REMS at this time. For meet sanctioning and entries – the REMS functionality to provide these tasks is not available and will not be available until mid-October.  The interim Swim BC meet sanction process can be found here. This is an extraordinary circumstance that no one could have predicted nor prepared for.  We kindly ask for your patience; we will know more after the meetings in Calgary this week.  In the meantime, to continue your club activities, please ensure your swimmers, coaches and officials appear on an internal club registration database, whether that be in PoolQ, TeamUnify, or a spreadsheet.
