Sanctioning a Competition

Competitive swimming events are a great way to challenge the swimmers in your club to reach for their best. Events are hosted by clubs and organized by each club’s designated Meet Manager. Events must be sanctioned by Swim BC, who provide the means to apply for sanctioning via the Registration Event Management System (REMS), which is the first step in hosting your own event.

Meet Manager Resources

Meet Managers will need administrative access to REMS to list meets and apply for meet sanctions.

Meet Managers should also be familiar with the following resources and information, which may be required when hosting competitions in BC:

Club Invitational Sanctioning

All information required for a Club / Invitational Meet
Contains all of the fields necessary; requires customization for each specific meet.
If you choose to produce your own meet information package, please follow the guidelines above.
All Swim BC heats/finals meets are required to follow the Swim BC Scratch Procedures.
This procedure MUST be included in the meet package.
These MUST be followed at all Swim BC sanctioned events.
All Meet Packages MUST include a statement regarding the pool depth and starting type for each of the pools being used.
Sanction Fees
Sanction Fee: $50.00
Competition Surcharge: $6.00/swimmer

Time Trial Sanctioning

A Class I Time Trial is reserved for sanctioned Provincial and National record attempts.
A Class II Time Trial is for swimmers attempting to achieve a time that may qualify them for entry into future meets. Class II Time Trials may be conducted on a less stringent basis than sanctioned meets. For example, several swimmers may swim at the same time, they need not be doing the same event or swimming the same stroke; they need not be the same sex, and two timekeepers per lane are sufficient. No Provincial or National records will be recognized from a Class II Time Trial.
These MUST be followed at all Swim BC sanctioned events.

Class I Time Trial: $50.00
Class II Time Trial: $50.00

Masters Sanctioning

 To host a sanctioned masters swim meet, follow these key steps:

Tracking Records:

  • Provincial Records: Use the HY-TEK Masters Record files to help flag any provincial records broken at your meet.

      • HY-TEK File (LCM) -updated 2025-08-26
      • Instructions for adding files to Meet Manager (coming soon)
      • Provincial Records are automatically submitted when results are uploaded in REMS

      • World Records: If a world record is broken, submit the specific application and all required documents (Meet Manager printouts, electronics heat printouts, Pool Length Certification Form, and a copy of the swimmer’s passport or birth certificate) to Swimming Canada within seven days of the event.

Sanction Fee: The sanction fee for a masters’ meet is $50.00.
